c. Registration to the event: Personal data processing required for registering individuals for the ICCA Congress 2028, as provided through the registration form. Registration is administered through a third-party event and learning platform (Intellum), which processes personal data on behalf of AAA-ICDR in connection with event registration and administration. Your use of the Intellum platform is subject to its own privacy policy and terms of service. Payment information is processed as necessary to complete your registration and process payment of applicable fees. d. Marketing communications: Processing personal data for sending marketing communications regarding publications, conferences, or other events organized by the AAA-ICDR, ICCA and/or CalArb. c. Registration to the event: the processing of personal data related to this purpose is necessary for the performance of the contract between AAA-ICDR and the registrant (i.e., to process and administer your registration for the ICCA Congress 2028) pursuant to Article 6(1)(b) of the GDPR. Where processing goes beyond what is strictly necessary to administer your registration, we will rely on your consent or our legitimate interests as described below. e. Recording and reproduction of audiovisual data: the processing of personal data related to this purpose is based on AAA-ICDR’s legitimate interests in documenting and promoting the ICCA Congress 2028. f. Registration of the sponsors: the processing of personal data for this purpose is based on the consent of the data subject, which is provided upon registration through the sponsorship form.

9. Retention of personal data
The user’s personal data will be kept by AAA-ICDR for the following periods:
1. To provide answers to the issues raised by the user through the contact channels provided: the personal data will be kept for the period necessary to process and respond to the user’s request and, once this period is over, for the period of limitation of the legal actions derived.
2. Pre-registration to the event: The data will be retained until the completion of the event and, even thereafter, for a period of one (1) year. Pre-registration is administered through a third-party event and learning platform (Intellum), which processes personal data on behalf of AAA-ICDR in connection with event pre-registration and administration. Your use of the Intellum platform is subject to its own privacy policy and terms of service.
3. Registration to the event: The data will be retained until the completion of the ICCA Congress 2028 and, even thereafter, for a period of one (1) year; certain data may be retained longer where necessary to comply with legal obligations and address any claims. Registration is administered through a third-party event and learning platform (Intellum), which processes personal data on behalf of AAA-ICDR in connection with event registration and administration. Your use of the Intellum platform is subject to its own privacy policy and terms of service. Payment information is processed by Stripe, which processes personal data in accordance with its own privacy policy and applicable data protection laws. AAA-ICDR does not store payment card details.
4. Marketing communications: The data processed for sending marketing communications will be processed until you withdraw your consent. You may opt out of marketing communications at any time by using the unsubscribe link.
5. Recording and reproduction of audiovisual data: The data will be retained for a period of five (5) years following the ICCA Congress 2028 for documentation, promotional, and archival purposes as described above. Following this period, audiovisual content will be reviewed and data that is no longer necessary will be deleted or anonymized.
6. Registration of the sponsors: The personal data will be retained for the duration of the sponsorship agreement and, subsequently, for a period of one (1) year to comply with legal obligations and to address any potential claims.
10. Disclosure of personal data
AAA-ICDR cooperates with government and law enforcement officials and private parties to enforce and comply with the law. We may disclose personal information and any other information about you to government or law enforcement officials or private parties if, in our discretion, we believe it is necessary or appropriate in order to respond to legal requests (including court orders and subpoenas), to protect the safety, property, or rights of our company or of any third party, to prevent or stop any illegal, unethical, or legally actionable activity, or to comply with the law.
Registration data will be shared with ICCA and CalArb for the purposes of event administration, participation, and communications. This sharing is based on the legitimate interests of AAA-ICDR, ICCA, and CalArb in jointly delivering the ICCA Congress 2028, which interests have been balanced against the rights and interests of data subjects. Where registrants have provided separate consent to receive marketing communications from ICCA or CalArb, those communications will be based on that consent. ICCA and CalArb act as independent data controllers with respect to the data they receive and process it in accordance with their own privacy policies.

Pre-registration and registration for the ICCA Congress 2028 is administered through a third-party event and learning platform (Intellum), which processes personal data on behalf of AAA-ICDR in connection with event pre-registration, registration and administration. To pre-register or register for the event, you will be required to access and use the Intellum platform. Intellum’s own privacy policy and terms of service govern your use of that platform. Intellum processes personal data in accordance with its own privacy policy and terms of service.
Payment transactions are processed securely by Stripe, a third-party payment provider. AAA-ICDR does not store or have access to full payment card information. Stripe processes personal data as an independent controller in accordance with its own privacy policy and applicable data protection laws.
In all cases where third-party processors have access to your personal data on behalf of AAA-ICDR, such access will be exclusively for the purposes described in this Privacy Policy, subject to appropriate contractual safeguards. Where personal data is shared with independent data controllers (such as ICCA and CalArb), those organizations are responsible for their own processing and you should refer to their respective privacy policies for information about how they use your data.
11. User responsibility
The user guarantees that the personal data provided to AAA-ICDR is true, accurate, complete, and up to date. To this effect, the user is responsible for the accuracy of all the personal data provided and will keep the information provided suitably updated, so that it corresponds to their real situation.
Likewise, the user guarantees that they have informed any third parties for whom they are providing data, if they are, of the aspects contained in this document. Likewise, the user guarantees that they have obtained the third party’s authorization to provide their data to AAA-ICDR for the aforementioned purposes.
